Tags & Organization
Tags are flexible labels you can apply to people, events, and volunteers to organize your data in ways that make sense for your organization. Think of them as color-coded sticky notes you can attach to anything.
What Tags Are
A tag is a simple label -- like "Major Donor," "Board Member," "Annual Gala," or "Spanish Speaker." Unlike audiences, which are dynamic filters that update automatically, tags are applied manually and stay put until you remove them. This makes them ideal for categorizations that require human judgment.
Tags in Nonprofitable. are polymorphic, meaning the same tagging system works across multiple features. A tag called "VIP" could be applied to both people and events. This keeps your organizational system consistent everywhere.
Creating Tags
- You can create tags from any feature that supports them (People, Events, Volunteers).
- When adding a tag to a record, type a new tag name and select Create tag from the dropdown.
- Choose a color for your tag to make it visually distinct in lists and detail views.
You can also manage all your tags from the People section, where you will see the full list of existing tags in the sidebar.
Tag Colors and Groups
Each tag has an assigned color that appears as a small badge wherever the tag is displayed. Using consistent colors helps you spot patterns at a glance -- for example, you might use blue for role-based tags (Board, Staff, Volunteer) and green for giving-related tags (Major Donor, Monthly Giver, Lapsed).
Group related tags by using naming conventions. For example, prefix donor-level tags with "Donor:" to keep them together when sorted alphabetically: "Donor: Major," "Donor: Monthly," "Donor: First-Time."
Applying Tags
To a Person
- Open a person's detail drawer (select them and press D).
- Find the Tags section.
- Click to add an existing tag or type to create a new one.
To an Event
- Open any event from the Events page.
- Add tags in the event detail view.
To a Volunteer
- Open a volunteer profile from the Volunteers page.
- Add tags in the volunteer detail view.
Filtering by Tags
Tags become powerful when you use them to filter. On the People page, you can filter the list to show only people with a specific tag. You can also use tags as filter conditions when building audiences -- for example, an audience of "all people tagged Major Donor who gave in the last 12 months."
When sending an email appeal, your audience-based targeting can include tag conditions, making it easy to reach the right people.
Tags vs. Audiences
It is worth understanding when to use each:
- Tags are best for manual, human-decided categorizations: "Board Member," "Keynote Speaker," "VIP."
- Audiences are best for data-driven groupings: "Gave more than $500 this year," "Registered for any event in March."
Both are useful, and they work well together. You might tag someone as "Major Donor" manually, then build an audience that filters for that tag combined with a giving amount threshold.
